Bring your MyRJ schedule into Outlook

Pull your class schedule into your own Outlook calendar so it’s all in one place — and your real availability shows up for everyone who needs it.

Once your teaching blocks live in your own calendar, Outlook knows when you’re actually free.

The payoff: Scheduling Assistant and Bookings then offer only your open times — students book help time around your classes, colleagues stop booking meetings over them, and you never double-book yourself.

Two moves

FOUNDATIONS · KNOW WHEN YOU TEACH

Bring your schedule in

The MyRJ Schedule Cleaner walks you through the whole thing and hands you a file to import into Outlook. About two minutes, and it runs entirely in your browser.

Open the MyRJ Schedule Cleaner →

The one part it can’t do for you: in Outlook’s Upload from file, the Select a calendar box lists several — pick Calendar under your own email (not a shared or test one). Stuck on that step? Microsoft’s step-by-step →

ENHANCE · MORE COLLEGIALITY

Let people book your open time

Turn on a personal Bookings with me page — a link students or colleagues use to grab office hours or help time in your free slots. It only ever offers times you’re actually free.

Set up your Bookings page →

Put the link in your signature — four clicks
On your Bookings page: Share → Email signature settings, click the pencil, tick Include a link to my bookings page in my signature, then Save. You never have to open Outlook settings.

THE FULL BOOKINGS GUIDE →

Set your hours first — on the default setting a student can book straight through a class period. The guide has the four windows that work here.

Keeping it current

An import is a snapshot — it doesn’t update itself. Two situations, two fixes:

Your schedule changed

New semester or a section swap — delete the old set and re-import. Every event the cleaner adds carries a MyRJ Import category, so in Outlook’s List view you group by that tag, delete the set, and run the cleaner again. (The tool shows the steps.)

Just one day changed

A weather delay or a special schedule — don’t redo everything. MyRJ is the source of truth, so just nudge that one day’s blocks to match it.

Other options

Just want to subscribe instead? See Red and White days without blocking your time.

A subscription is a live, read-only layer — it stays current on its own but doesn’t block your time or feed Bookings. Good if all you want is to glance at the day rotation and school events.

Or want to subscribe on your phone’s calendar app (iPhone or Android)?

If you use the Outlook app on your phone, a subscription added in New Outlook already syncs there — nothing to do. This is only for your phone’s built-in calendar app, using the same feed link.

iPhone: Settings → Calendar → Accounts → Add Account → Other → Add Subscribed Calendar → paste → Save.

Android: on a computer, go to calendar.google.com → next to Other calendars click + → From URL → paste → Add calendar.

Prefer pictures? Apple’s Add calendar subscriptions and Google’s Subscribe to a calendar both have screenshots.

Microsoft’s own training

Once your schedule is in, the rest of Outlook is worth twenty minutes. Microsoft’s own training is the place to get it — it is updated when the interface changes, and it costs nothing.

Outlook training

Calendar, categories, rules and search. Short lessons, each one a single task you can do today.
